Privacy Policy and Terms & Conditions

Welcome to The Rec Room. These Terms & Conditions govern your use of The Rec Room website and, where applicable, your purchase or use of memberships, classes, programs, events, parties, camps, trials, and other services.

By accessing our website, creating an account, registering an athlete, purchasing services, or making a reservation, you agree to these Terms & Conditions.

1. Eligibility and Parent or Guardian Responsibility

The Rec Room provides athletic, fitness, movement, recreational, and related programming for children and teens.

Registrations, memberships, purchases, and reservations for minors must be completed or authorized by a parent, legal guardian, or other adult with appropriate authority.

By registering a child, you represent that you have authority to do so and that the information you provide is accurate.

2. Accounts and Registration

You are responsible for providing accurate and current information when creating an account or registering for services.

You are responsible for maintaining the confidentiality of your account credentials and for activity occurring through your account.

Please notify The Rec Room promptly if you believe your account has been accessed or used without authorization.

3. Memberships and Programs

Memberships, class packages, trials, promotions, camps, events, birthday parties, and other services may have additional terms presented at the time of purchase.

These may include:

  • Membership duration
  • Monthly or recurring charges
  • Registration fees
  • Class frequency
  • Usage limits
  • Expiration dates
  • Promotional pricing
  • Founding-member pricing
  • Upgrade or downgrade rules
  • Sibling discounts
  • Cancellation requirements

Any additional terms presented during registration or purchase are incorporated into these Terms & Conditions.

4. Recurring Billing

Certain memberships are billed automatically on a recurring basis.

By enrolling in a recurring membership, you authorize The Rec Room and its payment providers to charge the payment method associated with your account according to the billing schedule disclosed at the time of purchase.

You are responsible for maintaining a valid payment method.

Membership cancellation, billing changes, freezes, upgrades, downgrades, and other membership-specific requests are subject to the membership terms presented when you enroll.

Canceling a class reservation does not cancel your membership or stop recurring membership charges.

5. Class Reservation Cancellation Policy

Plans change. Kids get sick. Sometimes they just need a rest day. We get it.

You may cancel your reservation at any time before the class begins, and the class will be returned to your account.

We simply ask that you cancel as soon as you know you won’t be attending so another athlete has the opportunity to take the spot.

Repeated no-shows may result in temporary restrictions on advance booking.

A cancellation is considered complete when it has been successfully submitted through the applicable reservation system or otherwise confirmed by The Rec Room.

6. No-Shows

A no-show occurs when an athlete has a reservation for a class but does not attend and the reservation was not canceled before the class began.

We understand that unexpected situations happen. However, repeated no-shows may prevent other athletes from participating in classes with limited capacity.

The Rec Room reserves the right to temporarily limit advance booking privileges for accounts with repeated no-shows.

7. Class Availability

Class schedules, instructors, coaches, capacity, programming, and availability are subject to change.

Registration for a membership or package does not guarantee availability in a particular class, time slot, or program.

Classes may be modified, combined, rescheduled, or canceled when necessary due to staffing, enrollment, facility conditions, safety concerns, weather, emergencies, or other circumstances.

8. Payments and Fees

Prices, registration fees, membership fees, package prices, and other charges will be disclosed at or before purchase.

You agree to pay all charges associated with services purchased through your account.

Unless otherwise stated in the applicable purchase terms, fees already earned for services provided are non-refundable.

Refund requests involving exceptional circumstances may be reviewed by The Rec Room on a case-by-case basis.

9. Trials and Promotional Offers

Trial classes, founding-member pricing, discounts, promotional packages, referral incentives, credits, and other offers may be subject to separate eligibility requirements and expiration dates.

Promotional offers:

  • May not be combined unless expressly stated
  • May be limited to new or eligible customers
  • May have enrollment deadlines
  • May be modified or discontinued for future purchases

Changes to a promotion will not retroactively change a completed purchase unless expressly stated.

10. Participation and Assumption of Risk

Athletic and recreational activities involve inherent risks, including the possibility of falls, collisions, strains, sprains, injuries, or other physical harm.

Participation in The Rec Room programs may require completion of a separate participation agreement, liability waiver, release, medical authorization, or similar document.

Those documents are incorporated into your participation agreement where applicable.

If a separate signed waiver conflicts with this section regarding assumption of risk or release of liability, the terms of the signed waiver will control to the extent permitted by law.

11. Health and Safety

Parents and guardians are responsible for determining whether an athlete is physically able to participate.

Please do not bring an athlete to class when they are experiencing a contagious illness or when participation would create an unreasonable risk to themselves or others.

You agree to inform The Rec Room of relevant allergies, medical considerations, physical restrictions, or emergency information when reasonably necessary for safe participation.

The Rec Room may restrict or discontinue participation when staff reasonably believe participation presents a safety risk.

12. Athlete Conduct

We want The Rec Room to be a safe, positive, and welcoming environment.

Athletes and guests are expected to:

  • Follow coach and staff instructions
  • Treat other athletes, families, and staff respectfully
  • Use equipment appropriately
  • Follow facility and safety rules
  • Avoid conduct that creates an unreasonable risk of injury or disruption

The Rec Room may remove an athlete or guest from a class or facility when necessary to maintain safety or an appropriate environment.

Repeated or serious conduct issues may result in restrictions, suspension, or termination of participation.

13. Parent and Caregiver Supervision

Certain programs, including programs designed for younger children, may require active parent or caregiver participation.

Parents and caregivers are responsible for following staff instructions and providing the level of supervision required for the applicable program.

Program-specific supervision requirements may be communicated separately.

14. Photography and Video

The Rec Room may photograph or record activities, classes, events, or the facility.

Any use of an identifiable child’s image for promotional purposes will be subject to applicable law and any media consent or release requirements established by The Rec Room.

Parents or guardians should notify The Rec Room of questions regarding media permissions associated with their account.

15. Personal Property

The Rec Room is not responsible for lost, stolen, or damaged personal property to the fullest extent permitted by law.

Please supervise personal belongings and avoid bringing unnecessary valuables into the facility.

16. Third-Party Platforms

The Rec Room may use third-party services for scheduling, registration, membership management, payments, communications, or other functions.

Your use of those services may also be subject to the provider’s terms and privacy policies.

The Rec Room is not responsible for outages, errors, security incidents, or other actions of third-party services outside our reasonable control.

17. Website Use

You agree not to:

  • Use the website for unlawful purposes
  • Attempt to interfere with website operation or security
  • Access accounts or systems without authorization
  • Introduce malware or harmful code
  • Scrape, copy, or commercially exploit website content without authorization
  • Misrepresent your identity or relationship to another person

We may restrict website access when reasonably necessary to protect The Rec Room, its customers, or its systems.

18. Intellectual Property

The Rec Room name, logos, branding, website design, photographs, graphics, text, videos, program materials, and other content are owned by or licensed to The Rec Room and are protected by applicable intellectual property laws.

You may not reproduce, distribute, modify, sell, or commercially use this content without prior written permission.

19. Disclaimer

The website and its content are provided for general informational purposes.

While we make reasonable efforts to maintain accurate information, schedules, pricing, program descriptions, availability, and other information may change.

The Rec Room does not guarantee that the website will always be uninterrupted, error-free, or available.

20. Limitation of Liability

To the fullest extent permitted by applicable law, The Rec Room will not be liable for indirect, incidental, special, consequential, or punitive damages resulting from your use of the website or inability to access the website.

Nothing in these Terms is intended to waive or limit rights or liabilities that cannot legally be waived or limited.

Participation-related liability may also be governed by a separately signed waiver or release.

21. Indemnification

To the extent permitted by law, you agree to indemnify and hold harmless The Rec Room and its owners, employees, coaches, contractors, and agents from claims, damages, losses, or expenses arising from your violation of these Terms or misuse of our website or services.

This section does not modify the terms of any separately executed participation waiver or release.

22. Governing Law

These Terms & Conditions are governed by the laws of the State of Florida, without regard to conflict-of-law principles.

Any dispute relating to these Terms will be handled in an appropriate court with jurisdiction in Florida, unless a separate agreement between you and The Rec Room provides otherwise.

23. Changes to These Terms

The Rec Room may update these Terms & Conditions periodically.

The updated version will be posted on our website with a revised effective date.

Changes will apply prospectively unless otherwise permitted by law. Membership or purchase-specific contractual rights will remain subject to the terms applicable to those transactions.

24. Severability

If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will remain in effect to the fullest extent permitted by law.
